Refund Policy
The Haines City Juneteenth Heritage Coalition ("HCJHC," "we," "our," or "us") appreciates the generosity of our donors, sponsors, vendors, volunteers, and community members. This Refund Policy outlines our practices regarding donations, event registrations, sponsorships, vendor fees, memberships, and other payments made to our organization.
Charitable Donations
As a registered 501(c)(3) nonprofit organization, charitable donations made to HCJHC are generally non-refundable.
Donations are considered voluntary gifts made to support our charitable mission of educating the community about Juneteenth, preserving cultural heritage, and providing educational and community-based programming.
If you believe a donation was made in error, duplicated, or was the result of an unauthorized transaction, please contact us within 30 days of the transaction. Refund requests will be reviewed on a case-by-case basis.
Approved refunds will be issued using the original method of payment whenever possible.
Recurring Donations
If you enroll in recurring giving, you may cancel future recurring donations at any time before your next scheduled payment.
Cancellation of future recurring donations does not automatically entitle you to a refund for donations that have already been processed.
Event Registration Fees
If an HCJHC event requires paid registration, refund eligibility will depend on the specific event.
Unless otherwise stated during registration:

Cancellation requests received 30 or more days before the event may receive a full refund, less any non-refundable processing fees.

Cancellation requests received 14–29 days before the event may receive a 50% refund, less any processing fees.

Cancellation requests received fewer than 14 days before the event are generally not eligible for a refund.
Participants who are unable to attend may contact HCJHC to determine whether their registration may be transferred to another eligible participant, if permitted for that event.
Event Cancellation by HCJHC
HCJHC reserves the right to postpone, reschedule, relocate, modify, or cancel any event due to circumstances including, but not limited to:

Severe weather

Public safety concerns
-
Venue availability
-
Low registration
-
Government orders
-
Emergencies
-
Circumstances beyond our reasonable control
If HCJHC cancels an event that required paid registration, registered participants may be offered one or more of the following, as determined by HCJHC:

A full refund

A partial refund
-
Transfer of registration to a future event
-
Credit toward another HCJHC event
Sponsorship Payments
Sponsorship commitments help fund community programming and event operations.
Unless otherwise stated in a written sponsorship agreement, sponsorship payments are non-refundable once promotional materials have been created, sponsorship benefits have begun, or event planning has relied upon the sponsorship commitment.
If an event is canceled by HCJHC, sponsorship benefits may be transferred to a future event or otherwise addressed in accordance with the applicable sponsorship agreement.
Vendor Fees
Vendor application fees and booth fees are generally non-refundable once a vendor has been accepted into an event.
Refund requests may be considered under limited circumstances, including:

Duplicate payment

Administrative error

Event cancellation by HCJHC
If a vendor voluntarily withdraws after acceptance, refunds are generally not available unless otherwise stated in the event's vendor agreement.
Membership Fees
If HCJHC offers memberships with membership dues or fees, those payments are generally non-refundable unless required by law or specifically stated otherwise in the membership materials.
Merchandise
If HCJHC sells merchandise, refund or exchange requests for damaged, defective, or incorrect items should be submitted within 14 days of delivery or pickup.
Merchandise must be returned in unused condition unless the item was damaged or defective upon receipt.
Customized or personalized items are generally not eligible for refunds unless the error was made by HCJHC.
Payment Processing Fees
Third-party payment processors may charge transaction or processing fees that are non-refundable.
If a refund is approved, HCJHC reserves the right to deduct any non-refundable payment processing fees to the extent permitted by law and the payment processor's policies.
Fraud Prevention
HCJHC reserves the right to refuse refund requests that appear fraudulent, abusive, or inconsistent with this Refund Policy.
We may request additional information to verify the identity of the individual requesting a refund before processing any request.

We aim to review all refund requests within 10 business days. If approved, refunds are typically processed within 5–10 business days, although processing times may vary depending on your financial institution or payment provider.
Changes to This Policy
HCJHC reserves the right to modify or update this Refund Policy at any time. Any changes will become effective upon posting the revised policy on our website unless otherwise stated.
